Terms & Conditions
1. General Information & Scope
These Terms & Conditions (“T&Cs”) apply to all video production services provided by VideoPod, including podcasts, talking head videos, interviews, and business introduction films.
The promotion is valid for jobs booked and completed before 31 December 2025.
The promotional offer applies only to projects featuring a person speaking or appearing on camera.
Limited spaces are available.
Promotional pricing applies within a 20-mile radius of W1K postcode; mileage beyond this area is chargeable.
All prices are subject to VAT.
Payments may be made via bank transfer or an approved online payment link.
By booking a service or paying a deposit, the Client confirms acceptance of these Terms & Conditions in full.
2. Booking, Payment & Cancellations
Full payment is required to secure a booking.
Cancellations:
More than 5 working days before the booking: no charge.
Less than 5 working days before the booking: 50% charge applies.
Less than 2 working days before the booking: 100% charge applies.
Jobs may be rescheduled at no cost if more than 5 working days’ notice is given.
Rescheduled dates are subject to availability and must still take place before 31 December 2025.
Additional work (such as extra editing or filming) requires a 50% deposit, which counts toward the final sum.
Late payments may incur interest and delay delivery.
Ownership of all footage and deliverables remains with VideoPod until full payment has been received.
3. Packages & Deliverables
Our standard package includes:
Up to 4 hours on site.
Up to 2.5 hours of footage captured.
Editing of one long-form video and one short-form social media clip (up to 30 seconds).
Delivery:
The initial edit will be supplied within two weeks of the shoot date, provided all required materials (logos, names, brief) have been supplied by the client.
Editing & Revisions:
Any additional editing requirements not included in the initial brief must be communicated within 3 working days after the shoot; otherwise, VideoPod will proceed using its professional and artistic discretion.
All names, role titles, and logos must also be provided within 3 working days after the shoot.
Logos should be supplied in vector format (.ai or .eps).
Once editing begins, changes to the brief are not permitted except during the one included revision round.
The revision round must be submitted in a single email within 5 working days of the initial edit being delivered.
Revisions requested after this time will be charged at £100 + VAT per hour.
A revision refers to minor changes such as text corrections, title adjustments, or short clip replacements. It does notinclude major re-edits, structural changes, or full reworks.
Graphics & Titles:
Standard fade-in/out logo transitions.
Standard lower-third titles (name and job role) from DaVinci Resolve.
Custom or complex motion graphics: £150 + VAT per hour.
4. Music, Raw Footage & Additional Services
A small royalty-free music library is available for selection.
Clients may provide their own music, provided they hold or purchase the necessary licence for its use.
For short-form social media clips, clients must supply the chosen track name (e.g. from Instagram or TikTok).
Raw footage (captured in LOG colour format) can be supplied via Dropbox for £450 + VAT.
Additional services:
Extra editing: £100 + VAT per hour.
Extra time on location: £180 + VAT per hour (includes camera and lighting hire).
5. Data Storage, Copyright & Confidentiality
All recorded footage is securely stored for up to 3 months after the shoot and then permanently deleted.
VideoPod (London58 Ltd) retains copyright and full ownership of all footage and materials produced.
The client is granted a non-exclusive licence to use the final edited videos for their own website, social media, and marketing purposes.
Footage or edited media may not be resold, relicensed, or repurposed without written permission.
VideoPod reserves the right to use excerpts or finished videos for its own promotional and portfolio purposes, unless the client opts out in writing.
Both parties agree to keep confidential or proprietary information private, including unreleased footage, client data, and marketing materials.
VideoPod complies with UK GDPR and processes personal data (such as names, images, or voice recordings) only as necessary to deliver the agreed services.
6. Client Responsibilities
The client is responsible for:
Obtaining all necessary permissions, releases, and clearances for filming locations and participants.
Ensuring participants consent to being filmed.
Providing access to the filming location at agreed times.
Supplying all required assets (logos, names, etc.) promptly.
The client confirms they have obtained consent from all individuals featured in the video for public use and distribution.
VideoPod is not responsible for delays or missed deadlines caused by client unavailability, access issues, or late submission of materials.
7. Liability, Insurance & Force Majeure
VideoPod maintains public liability insurance for all filming activities.
The company’s total liability is limited to the total amount paid for the specific project.
VideoPod is not liable for indirect or consequential losses, business interruption, or reputational damage resulting from the use or delay of deliverables.
No guarantee or warranty is provided regarding the commercial or marketing performance of the final video.
In the event of unforeseen circumstances beyond our control — such as illness, equipment failure, transport issues, extreme weather, or other force majeure events — VideoPod will make reasonable efforts to reschedule or find an alternative solution.
8. Governing Law & Acceptance
These Terms & Conditions are governed by the laws of England and Wales.
Any disputes will fall under the exclusive jurisdiction of the courts of England and Wales.
By confirming a booking or making payment, the Client acknowledges and agrees to these Terms & Conditions in full.
